Planning and Research Division Data Policy and Request Form
In order to balance the multiple requests we receive as an office, the Planning and Research Division has developed a data request form. This form will help us identify the specific needs and requirements for requests and will also assist us in organizing these requests for more effective processing.
Please note the Following:
- Requests will generally take a minimum of two weeks for processing depending upon the complexity
- If student tracking data is requested a Memorandum of Understanding (MOU) will be required. To apply for an MOU CLICK HERE.
- If the requestor already has an MOU with New Mexico Higher Education Department (NMHED) they may click below to access the data request form.
- Government agencies and individuals who have an MOU with NMHED and their request falls within the scope of the MOU will receive priority.
NOTE: If the requestor already has an MOU with NMHED, but there request falls outside of the scope of the MOU their request will be filled on a first come first serve basis.
- For all request without an MOU, data is provided in aggregate form.
- Please give us as much notice as possible when requesting data!
All requests will adhere to guidelines set forth by the Family Educational Rights and Privacy Act (FERPA).
Guidelines for handling Data
- Requestors shall not resell data or information derived from the HIES data provided by the NMHED.
- Requestors shall give full credit to the NMHED in any published or unpublished reports or uses of NMHED data.
- Published or unpublished reports using HIGHER EDUCATION INFORMATION SYSTEM (HEIS) information shall include a disclaimer which states, “The accuracy of the original data is the responsibility of the submitting provider, and the NEW MEXICO HIGHER EDUCATION DEPARTMENT (NMHED) assumes no responsibility for any use made of or conclusions drawn from the data.”
- Requestors shall NOT share STUDENT level data with parties not identified in their request
